The word appointment comes from an old French word meaning "arrange, settle, place." Well, who cares what the French are doing when making appointments? You are here to learn how to book a lead the "American" in your LMS and you came to the right place!

In your LMS, there are 2 primary ways you can book an appointment. Depending on the way you prefer to engage leads, one of these ways will be more convenient than the other.

Conversations Tab

  • Go to the Conversations tab and find the lead you want to book. Learn more on how to do this by clicking here!

  • Once you find the lead and select it, go to the far right column of your screen.

  • This is where you can do many actions with a lead, but we are trying to book the lead so go to the bottom of the column.

  • Click on the orange "Book Appointment" button to open the scheduling window.

  • Go to the Scheduling window sections below to learn what to do next.

Individual Contact

  • Get to the individual contact level of the lead you are trying to book. Learn more on how to do this by clicking here!

  • Once inside, go to the far right column on your screen.

  • You will see 4 tabs near the top of that column. You want to click the one that says "Appointment".

    • Here you can see any appointment booked with the lead, if any.

  • If you want to book an appointment, look for the plus symbol and words in blue "Add new" and click on it.

  • That will open the scheduling window and you can learn more about that in the section below.

Once you've got this window open, you should be seeing a screen like below.

Let's start on the left side of the screen! This is where you can set up all the appointment details. There are 3 sections here that you should be aware of when setting an appointment.

Calendar

  • When you click on this bar, a drop-down with all your calendars will be there.

  • Select the correct calendar you want to be setting on by clicking on the appropriate one.

Team Member

  • Depending on how the calendar is set up, you can round-robin the appointment or assign it yourself here.

    • If you want to round-robin the appointment, leave the team member on "Calendar Default"

    • If you want to assign it to yourself or someone else on your team, click the bar and a drop-down will appear.

      • Look for the name you want to assign this appointment to and click on it when done.

Date and Slot

  • Click on the bar you want to change and a drop-down will appear.

    • For the date bar, a calendar with all the days in that month will appear.

    • For the slot bar, all the times you have open on that day will be shown for you to pick from.

  • Once you find the correct date or time in the drop-down, click on it for desired value to be selected.

Appointment Details

For the appointment title, depending on how your calendar is set up the title will auto-populate or you can add it here.

On the right side, there are a few things to keep in mind here as well.

Contact

  • Before you save the book the appointment, you can see the time you are booking the appointment in the lead's timezone.

  • This is useful when you are booking leads that may be in a different timezone than your account's default timezone.

Canceling

  • You can click on the "X" icon to cancel out of this window or click anywhere on your screen that isn't the Scheduling screen.

Save the Appointment

  • On the bottom right, you will see a blue "Book Appointment" button.

  • By clicking this you will be saving the appointment details you've filled out and setting the lead on the retrospective calendar.
